A WhatsApp number that answers, quotes and books
Peak Software sets up a WhatsApp assistant that answers customers from your own prices and rules, sends quotes and books them into your calendar, day and night. When it isn't sure, it hands the chat to a person. It runs on your business's WhatsApp number, under your name.
What it does
Here is the kind of chat it handles at 21:40 on a Sunday. The prices it quotes come straight from your own list.
- Customer: "Hi, do you do full valets at home? How much for an SUV?"
- Assistant: "Yes, we come to you in your area. A full valet for an SUV is [your SUV price] and takes about two hours. Would you like to book?"
- Customer: "Thursday morning?"
- Assistant: "Thursday has 08:00 or 10:30 open. Which suits you?"
- Customer: "10:30."
- Assistant: "Booked for Thursday at 10:30. You'll get a reminder the day before. Reply here if anything changes."
It knows your prices and rules
The assistant answers from what you give it, not from guesses.
- Your services, prices and extras.
- The areas you cover and any call-out rules.
- Your hours, staff and how long each job takes.
- Your policies: deposits, cancellations, what you don't do.
Bookings, reminders and payment links
- Books into your calendar and checks what's free first.
- Sends reminders before the booking, so fewer people forget.
- Sends a payment link for a deposit or the full amount, if you want one.
- Lets customers move or cancel inside your rules.
- Sends you a summary of each new booking.
It hands over to a person
Some chats need a human: a complaint, an unusual job, or a question it can't answer from your information. The assistant tells the customer someone will reply, and passes you the chat with the details so far. You reply from your phone or computer.
Opt-in and POPIA
WhatsApp's own rules say businesses may only message people who have agreed to hear from them, and POPIA has rules on direct marketing. We set up the assistant so customers start the chat or opt in, can stop messages at any time, and only the data the booking needs is kept. You stay responsible for how your business uses customer data. This isn't legal advice.
How we start
A short call about your services, prices and how you book today. Then a written plan and one fixed price before work starts. We test the assistant with real questions before it talks to a single customer.
We work remotely with businesses across South Africa.
Questions
Is the free WhatsApp Business app enough?
For a small business that can answer every chat by hand, often yes. Once you miss messages after hours, answer the same questions all day, or book by copying details into a calendar, an assistant saves real time. Our WhatsApp guide explains the difference.
Can it take payments?
It can send a secure payment link for a deposit or the full amount. The customer pays on the payment page, not inside the chat.
What happens when it doesn't know the answer?
It doesn't make one up. It tells the customer a person will reply and passes you the chat with the details so far.
Does it work after hours?
Yes. It answers and books day and night, including weekends and public holidays, within the hours and slots you set.
Is it POPIA-compliant?
We build it with POPIA in mind: opt-in, a way to stop messages, and only the data the booking needs. Compliance also depends on how your business uses the data, so check your own obligations. This isn't legal advice.
